The Coubertin Crew is looking for volunteers for the European Artistic Gymnastics Championships!

The Coubertin Crew is an NGO founded in 2016 by a group of 6 people who, through our passion for olympism, found a common goal:  growing a sports volunteering culture in Romania. Each of us has at least one Olympic volunteering experience and we participated and contributed to events like the European Youth Olympic Festivals (Brasov, Utrecht, and Tbilisi) and the Olympic Games (Sochi, Rio).

We are happy to announce that we have the opportunity to actively participate in the organization of the European Artistic Gymnastics Championships held in Cluj from the 19th to the 23rd of April 2017.

Ever since last year before our great adventure to the Rio Olympic Games, we knew that Romania was going to host the next edition of the European Artistic Gymnastics Championships. And somewhere in our minds and souls an idea was born: what if we could actively contribute to the organization of this great sports event that is going to be hosted by Romania? Somehow things got aligned really well for us and The Coubertin Crew is going to manage the volunteer experience design at the European Artistic Gymnastics Championships 2017.

We want to create a valuable experience for all the volunteers that will join us for this event. We hope to design a great learning experience, an occasion for us to have fun, contribute to the well going of the event and meet new and awesome people. We are very excited to launch the Together for Gymnastics community!

The event will welcome over 300 athletes from 37 countries. The Together for Gymnastics community will bring in one place over 150 volunteers that will be ready to contribute with their skills and competencies to create a memorable experience for all the athletes, delegations, officials and last, but not least, spectators.

Details about the volunteering program at the European Artistic Gymnastics Championships

The volunteering program is open to all that:

  • are at least 16 years old
  • are available for min 5 days during the event (14th to 24th of April – keep in mind that on 16th-17th we celebrate the Orthodox & Catholic Easter and we won’t have days off)
  • are willing to contribute to the successful delivery of the event

Over 150 volunteers will be a part of the organizing team during the event and they will bring their contribution within the following departments:

Transportation: This team is responsible for the transportation of athletes, officials and VIPs during the event, providing information about the schedules or routes, arrival and departure points.

Spectators support: The spectator’s energy depends partly on the interaction with the organizers. This team guides spectators to their places in the arena, provides information about the event and supports them along the way when help is needed.

Protocol: Like any sports event, we will have some VIP guests. The protocol team will assist the VIPs and offer the information they need.

Field of Play: The stars of the European Gymnastics Championship will shine on the field of play. To ensure that the athletes have the best conditions, this team will pay close attention to all details on the competition and practice arenas.

Media: The event will be broadcast all over Europe and press teams from all participating countries will travel to Cluj. The media team will support them during the event.

Info Desk: Athletes and officials need easy access to updated information. The Info Desk volunteers will be available at the competition arena and the accommodation sites.

Ceremonies: Every medal won must be celebrated with a ceremony and this team will make sure the awards ceremony is memorable. They are the ones that love being in front of cameras and are always ready to walk with medals and flowers.

IT: The technical support team will make magic on computers to display the competition results. They will be joined by a few lucky volunteers who will work alongside them.

  1. Do I need volunteering experience?

We will take in consideration any previous experience, but it is not mandatory.

  1. I am a person with a disability; will I be able to volunteer alongside my Support Worker/Personal Assistant?

We welcome everyone to apply to join the 2017 Volunteer Team and your Support Worker or Personal Assistant can come along too if you are successful. Tell us about your support requirements in the application form.

  1. What are the stages of the Volunteer program?

During February 2017 you can apply as a volunteer through our online form.
Starting with February 5th until March 10th we will invite you to attend an online interview.
From 10th to 15th  March you will receive your Letter of Invitation.
Between 15th March and 5th April you will walk through the online training.
Between 5th April and 14th April you will meet your coordinator and attend the role training.
From 14th April to 24th April, together we will create an amazing event!

  1. Where do I get new information about the next steps?

Once you are accepted as a volunteer, you will join Together for Gymnastics online community. Here you will have access to all the information you may need. Also the most important information will be sent to you via e-mail.

  1. When will I receive the Letter of Invitation?

You will receive your Letter of Invitation between 10th March and 15th March.

  1. Great! I am selected! Do I have any responsibilities until the event?

We may request some information from you in order to prepare the best conditions for your volunteer work. So you will have to provide some personal information. Another important responsibility for you until the event is to complete the online training and to attend the role training. Keep in mind that even though the Championships will start on 19th April, your role may require your presence in the preparation period (starting with April 14th).

  1. When will the event take place and how long should I be available?

The event will take place between the 19th and 23rd of April. The preparation period will start on 14th of April, and depending on each role you will work a longer or shorter period of time. The longest period of time will be 10 days (between 14th to 24th) and the shortest will be 4 days. Please keep in mind that the preparation period is happening during Easter (16-17th of April) and your job may require you to be available during those days.

  1. How many hours will a volunteer work during the event?

A normal shift will be 8 hours long, but depending on your assigned role you may have some shorter shifts.

  1. What do I have to wear during my job?

You will receive official equipment. We recommend you have sports attire during the event, wearing at least one of the parts of the official equipment. In the arena, it will be warm so a shirt and maybe a hoodie will be enough. But in some other areas you may need also a jacket (e.g. at the spectator entrance).

  1. Do we have any meals included?

During your shift you will receive meals and water.

  1. Will you be providing accommodation for the 2017 Volunteer Team during the Championships?

Unfortunately, we are not able to provide accommodation for the volunteers. But we hope that within our Together for Gymnastics community, local volunteers will host non-locals :).

  1. Will you be offering transportation for the volunteers?

We will not provide transport or cover costs for travel to and from Cluj. These expenses are the volunteers’ responsibility. During the event you will have access to transportation between venues according to your attributions.

  1. Will the 2017 Volunteer Team get to watch the gymnastics competition?

Depending on each role, volunteers will be able to watch the competition while completing their job.

  1. What happens if I will not be able to fulfill my task because of an unexpected reason (e.g. illness)?

We truly understand that there may appear some unexpected reasons and you may not be able to fulfill your task. But since we are Together for Gymnastics, we trust that you will let us know as soon as possible if something occurs.

  1. If I am successful and then find I am unable to commit, can I withdraw from the program?

You can withdraw from the program, but please let us know as quick as possible to have enough time to find alternative solutions.
